Astra Properties LLC ("Voxly", "we", or "us") operates the Voxly platform. This Privacy Policy explains what information we collect, how we use it, and your rights.
1. Information We Collect
Account information you provide: name, business name, email, phone, billing details.
Lead data you upload or stream to Voxly: names, phone numbers, addresses, and any custom fields. This data remains yours and is processed by Voxly only to place calls and update your CRM on your behalf.
Call data: recordings, transcripts, outcomes, and metadata for every call placed through the Service.
Usage data: pages visited, feature interactions, IP address, device/browser type.
Cookies: session identifiers for analytics and to keep you logged in. We do not sell your data to third parties.
2. How We Use Information
- To operate and deliver the Service you signed up for;
- To place and record calls on your behalf;
- To generate transcripts, summaries, and call-outcome classifications (via third-party AI providers listed below);
- To send service emails (invoices, alerts, product updates);
- To prevent fraud and enforce our Terms;
- To improve product quality and debug issues.
3. Subprocessors
Voxly uses the following providers to deliver the Service:
- Vapi — AI voice infrastructure (call execution & recording)
- Twilio — carrier-level telephony
- Anthropic — call-transcript summarization (Claude)
- OpenAI — AI reasoning where applicable
- ElevenLabs — voice synthesis
- Airtable / HighLevel — CRM storage (per your choice)
- Cal.com — appointment booking
- Stripe — payment processing
- Railway, Vercel — hosting infrastructure
- Google — email and lead-source spreadsheets where used
Each subprocessor is bound by its own privacy and security terms.
4. Call Recording Consent
Calls placed through Voxly may be recorded. Where state law requires two-party consent (CA, CT, DE, FL, IL, MD, MA, MT, NV, NH, PA, WA), Voxly's AI agents disclose recording at the start of the call. As the caller of record, you are responsible for ensuring your use of Voxly complies with all applicable recording laws.
5. Data Retention
Call recordings, transcripts, and outcome data are retained for the lifetime of your account plus 90 days after cancellation, unless you request earlier deletion. Account and billing records are retained as required by law (typically 7 years).
6. Data Security
We use industry-standard safeguards: TLS-encrypted transit, encrypted storage at rest (provider-managed keys), role-based access, and audit logging. No system is perfectly secure; we do not guarantee absolute security.
7. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access, correct, or delete personal information about you;
- Export your data;
- Opt out of marketing emails (use the unsubscribe link);
- Lodge a complaint with a data-protection authority.

8. Children
Voxly is a B2B service and is not directed at children under 16. We do not knowingly collect information from children.
9. International Transfers
Our infrastructure is hosted primarily in the United States. By using Voxly from outside the US, you consent to this transfer.
10. Changes to this Policy
We may update this Policy. Material changes will be communicated by email or in-product notice at least seven (7) days before taking effect.
